Corporate Event Videography- Important Do’s and Dont’s

According to a report by Unbounce, embedding videos on a landing page increases the conversion rate by up to 80% (Source)

Corporate event videography is an excellent way to market your company’s services and increase your brand’s presence by sharing event coverage to the masses.   Consequently, an increasing number of B2B companies across various business verticals are expanding their marketing strategies to incorporate live event video on their home pages and to boost social media interaction.

Considering the growing importance of corporate event videography, many companies are hiring the services of video production companies for filming event videos. However, knowing what to do before and after the filming can help to ensure that your final video appropriately reflects your business goals and entices the audiences.  Here, we have put together a list of important do’s and don’ts for successful event videography.

Do’s

Do keep the video’s length in mind

It is important to create videos of the right length, such that they do not have to compromise on the content value by being too short or fail to retain audience’s interest by being too long.  Obviously, event videos can be quite long if you are filming a presentation. Consider breaking them up and we always suggest having a 2-4 minute highlight video edited from longer content that is important to you.  This enables you to choose the most impactful clips and edited professionally with music can actually be engaging to watch.   Consider editing short 30-59 second excerpts for use on Instagram.

Do make the content relevant and interesting

Conference event-related video sometimes isn’t the most interesting content if its only targeted at a small portion of the population.    Sometimes, conference based videography is primarily used to educate, record important awards, speeches, or to simply archive a prominent speech or presentation.   If budget allows we always suggest having a second camera to capture audience reactions as well as footage from the event which can help give the video some context for viewers.  We suggest shooting footage of the exterior of the building in which it is shot, people in the hallways getting ready to enter the event, any important signage from the event and even footage of the city it was shot in.  This additional footage can really help make a long presentation watchable.

Do plan a distribution network for your video

Having a well-planned distribution network in place will ensure that your video serves as the best promotional tool. You can leverage platforms such as Instagram, Facebook, YouTube or your company’s website to effectively reach a wider base of audience.  Simply uploading a video to Youtube does not mean it will get views.   We suggest using targeted marketing on platforms like Facebook to get the video in front of the right people.

Dont’s

Don’t hire a videography company last minute

The entire process of videography production, right from pre-planning to the actual final filming, is extremely.  We suggest having the videography team or videographer get in touch with the Audio/Visual company at least 2 weeks in advance of an event to talk through logistics and even do a walk through of the space.  Every aspect needs to be properly planned for including making sure there is adequate lighting, audio feeds, power, and if needed camera risers in the right position.   Establishing a contact with the a/v company ahead of time and being clear with what the videographer needs is important.   At Conference Capture Media we handle all of that for the client as it greatly reduces last minute hiccups. If you hire an event  videography company or videographer with plenty of lead time, then you can be clear with your companies expectations.  The week before an event is often hectic and not the time for hiring a last minute videographer.  Rushing the process can result in a poor quality video, which helps no one and can even damage your brand and identity.

Don’t hire a videography company that doesn’t have experience

The easiest way to produce a video that you are not satisfied with is to hire a videography company or videographer who does not have extensive experience filming live events.    Filming corporate events is a different beast from filming other kinds of video.  Just because someone can film a slick looking commercial or music video does not mean they know how to properly film a presentation or speech and all the technical know-how that goes with it.  Filming anything live, you only get one chance to get it right, there are no second takes with live event video.  Making sure that whoever you hire has filmed a lot of events and you can see the work yourself on their website is very important.   Having the equipment from  tripods, low light and long throw lenses, and audio recorders is important.  Conference Capture Media has over 12 years experience filming corporate live events and has many references from happy clients.  Whoever you choose, make sure they know what they are doing event if it may cost a little more than an inexperienced videographer as a ruined video is worthless.
